2004 Reporting Tips for Clubs

There were 2,479 reports, nation wide, from clubs by March of 2003.
Clubs that filled out the questionnaire stated that the form was easier than former reporting forms. Remember when we struggled to make the report longer to impress a chairman? Now we want substance and "get to point" type of thinking.
Because GFWC had club information early, it was in the GFWC archives by the time of the National Convention in Little Rock AR.

1. The basic GFWC form remains the same for reporting 2003 programs
2. GFWC asks that you use only their form, not a form made by your state.
The GFWC form is "on line". Each club president in Tennessee will receive the form via mail in Fall. If you are the reporting chairman, ask your club president for the form or go to www.gfwc@gfwc.org and make a copy.
3. Complete the form request for basic information.
* Be sure to put the date on the form.
* Select one category at top of form: are you reporting for club , district, or state?
* Do not add an additional category. The GFWC software program cannot adjust for an additional entry.
4. Do the narrative on a clean sheet of paper.
If you do not attach a narrative, you cannot win awards.
5. Choose where your strength is if you desire awards. When you see that a report is strong, look for other support areas to include.
6. Can you report "on line"? GFWC has no software to support that area, yet.
7. The length of the narrative has built in guidelines. If it says one page, don’t go over. If the guidelines indicate double-spaced, do not use single space. Read the guidelines and follow the directions.
8. To obtain more space, do not list proper names of people, cities. Use adjectives sparingly. Try to combine several things in a sentence, use comas.
9. Do not report anything that has not been club approved.
10. If a club member participates in several projects that are reported in the same narrative, she can only be counted one time
11. Clubs: continue to send a copy of all club reports to:
GFWC, Department P, 1734 N Street NW, Washington DC 20036
12. One form can be sent for all of your narrative Dept. reports to GFWC.
* Notice that there are lines for each department division. Put the answers for all departments on one form! This saves paper!
* One statistical form can be completed, line by line, and sent for your reports to District and State Department Chairmen.
* Make a copy for each chairman.
* I suggest that you highlight the area intended for each state chairman.
13. You can choose to delay a report for a year if it is stronger with something added that is coming up in the following year. I would certainly make this within the 2-year administration of the current state president if possible.
14. Yes, you can split a report and put information where you wish. For instance: put dollars raised in the Fund Raising Report and the narrative in another area or divide the narrative into several areas but don’t cross report any of the split.
15. It is in the works to add Special Projects to the form. The incoming administration has made a commitment to this.
16. Remember that "in kind" donations are different from fund raising. Fund raising means dollars/money raised. Donations that are "in kind" are material goods such as shoes, clothing, household goods and appliances. If you receive a service that is new, such as a company donates a printing job for you, count that at the value as if your club purchased this service. If you have received used clothing, put a value that reflects that this is less than new.
17. Clubs are not expected to participate in all projects.
18. Although Generals can report to the Juniors Advocacy for Children Project, Generals cannot report it again for a General category. If the Juniors give a certificate to the Generals for their participation, this certificate is not counted in the tally for General awards.
