ARE you Proud of your Club? Do you enjoy the projects/programs that the leadership plans for your members? Does your Club have year-end reports given to the membership by the leadership? These are reports. How simple it is to convert these reports to a GFWC of TN report? _____members planted a flower bed at ______. Hours_____ Cost _____ ____members attended a program on Mental Health. Hours_______ Cost_____. Thats how simple reporting can be. It can be more elaborate if you choose. You can go into details about the preparation for the project and the steps taken to accomplish the task you have undertaken, but it not necessary to reporting, and many projects do not have details you wish to elaborate upon. Can I use the above Format for all TN reports? YesREMEMBER CIP IS A GFWC REPORT. Do you have anything to report? Yes, if you had 1 or more programs, made 1 or more donations to a project, held a fund raiser, supported a community effort, donated a book., etc. Any 1 of these items is a report and it is important. Did you plant a flower, a tree, or donate one of these? Then you have a Conservation report. Did you have a lunch, a tea, a covered dish dinner? Then you have a Membership report. Did you help a student or an adult advance their education? Then, you have an Education report. Did your club have a representative attend a district, regional or the state convention? Then you have a Leadership report. (Dont forget to acknowledge the financing for attendance a special project club budget individual pays.) Do you have to report in all departments in all divisions of a department? NO. Do you have to have more than one project in a division? NO. Can I fax or email a report to the appropriate chair? YES, if they list an email of fax number in the GFWC of TN Handbook. Is it important that my club be represented in the reports filed by the state chair with GFWC? YES. The state is made up of very large to very small clubs. Each contribution reflects the interests and complexity of our state. Through our reporting, GFWC is able to secure materials and funding from interested organizations. This in turn makes your job easier in securing necessary materials for projects and programs that suit your interests. The chairs for GFWC of TN are anxious to hear about anything your club has done in 2001. No project/program is too small or so large that the reporting cannot be simply and easily accomplished by any club woman who is willing to set aside an hour. So, If your club did something excitingsomething you feel good aboutsomething your club has done for yearsor even something that was suggested, but maybe not very successful, then you have a report. PLEASE let us hear from your Club.
WHAT can be double reported: CIP and to Ways & Means. 1 program area, legislation/resolutions, public relationsany or all of these where you have part of your larger project that fitscount only appropriate hours and money in each of the other program areas. Dollars for Delegates also may be reported under Leadership. Clubwoman and TFNewsmay also be reported under Leadership. TN Presidents Special One Day Project and in appropriate program area. Ways & Meansand to the specific program areas for which the funds were raisedif funds were raised for all program areas, be sure to divide hours and funds accordingly. Public Policy/Legislationand in the program area for which you took action. Libraries 2000a post card to GF as you make donations; a complete report to Emily Binkley; AND under EducationSpecial Projects; if you give specific booksI.e. Parenting books can be reported under Home Life and under the Juniors Special Project which is Advocates for Children. Whats in a Name? Coordinator Chairmanused interchangeably. Department-Program areasame thing. Report formsCover sheetssame thing. Not counted as one of your two-page report. Program Booklets refer to the color coded booklets sent to club presidents by GFWC. Handbook-Directory refers to the yellow-covered material given to you by GFWC of TN.
